Create and edit actions
Use actions to automatically send your mailings based on specific triggers, edit recipients, (un)subscribe recipients, change values and much more.
Step by step

Open the
"Actions" navigation item.

Click
or click on thepencil icon for editing an existing action.

Enter a name and a description.

Select a trigger.
Action triggers
Below you will find an overview of all the action triggers you can choose from.
List-specific or global: For some triggers, you can set a "List restriction" if you want the trigger to apply for specific lists only.

Bounces
Select your bounce type:
- Hard bounce
- Soft bounce
- Autoresponder bounce
- Unknown bounce
- Spam bounce
The action starts when this type of bounce has been received in the Bounces tab of the
"Inbox and bounces" this type of bounce has been received in XPRO.
Response
Select your response type:
- Autoresponder
- Complaint
- Reply
- Spam
The action starts when this type of response has been received in the Inbox tab of the
"Inbox and bounces" agent in XPRO
Subscription
The action starts when a recipient has subscribed to a specific mailing list.
Only subscriptions using your pre-defined subscription process will be considered, i.e. subscriptions using:

the dynamic "Subscription" web page or
-
the mailing list subscription by email or
-
the (re-)action "Subscribe recipient"
Manual subscriptions, for example, are not taken into account.
Unsubscription
The action starts when a recipient has unsubscribed from a specific mailing list.
Only unsubscriptions using your pre-defined unsubscription process will be taken into account, i.e. via:

the dynamic "Unsubscription" web page or
-
the mailing list unsubscription by email or
-
the (re-)action "Unsubscribe recipient"
Manual unsupscriptions, for example, are not taken into account .
Mailing dispatch (normal)
The action starts when any mailing, split test mailing or email sequence mailing from a specific mailing list has been sent.
Performance: Note that this action will slow down your dispatch speed.
Mailing dispatch (un-/subscription process)
The action starts when a mailing has been sent as part of your pre-defined subscription and unsubscription process, i.e:
- Subscribe mailings: welcome, timeout or confirmation mailing
- Unsubscribe mailings: farewell, timeout or confirmation mailing
- the last mailing sent from your mailing list
Performance: Please note that this action will slow down your dispatch speed.
Grant tracking permission
The campaign starts when a recipient gives consent to person-based tracking:
- by clicking the Tracking permission link type
- via a dynamic web page, e.g. the "Subscription" web page
- via your own subscription website
Exception: You cannot use the (re-)actions "Grant tracking permission" and "Transfer tracking permission" as action triggers.
For integrators
Special case for integrators For integrators, there is the Include tracking permission of deleted recipients advanced property.
If you use an Inxmail integration and have activated this property, your action will also be started if a deleted recipient grants their tracking permission.
Withdraw tracking permission
The campaign starts when a recipient withdraws their consent to person-based tracking:
- by clicking the Withdraw tracking permission link type
- via a dynamic web page, e.g. the "Subscription" web page
- via your own subscription website
Exception: You cannot use the (re-)actions "Withdraw tracking permission" and "Transfer tracking permission" as action triggers.
For integrators
Special case for integrators For integrators, there is the Include tracking permission of deleted recipients advanced property.
If you use an Inxmail integration and have activated this property, your action will also be started if a deleted recipient withdraws their tracking permission.

Here you will find an overview of all possible (re-)actions on your action triggers.
Actions relating to (un)subscription, deletion or tracking permission always relate to the current recipient.

Values change a value
Set an attribute to a specific, fixed value.
Example
Trigger: A recipient clicks on an image coupled with a link in an HTML mailing.
Response: The value "HTML" is entered as the attribute value "Format" for the current recipient.
This method is called HTML sensing: It tells you whether or not a recipient can display mailings in HTML format.
Determine a value from a conditional expression
Enter an expression. Begin with an equals sign "=".
Example
You want the current day to be entered as "Click date" attribute when you click on a link.

Option 1: The format of the "Click date" column is "Date and time"
Enter the following expression: =Date()
You can also omit the "=" sign. The date is saved in dd.mm.yy hh:mm:ss format.

Option 2: The format of the "Click date" column is "Text"
Enter the following expression: =Format(Date(), "Date format")
e.g. =Format(Date(), "dd.mm.yy hh:mm")
Note: Saving a date as a "Text" format attribute can be useful, for example, if you need a specific date format for exporting to a third-party system.
change numerical value by +/- amount
Enter a positive number if you want to increment an attribute by this amount. Or enter a negative number to decrement the attribute by this amount.
Dispatch (send a mailing)

Send the most recently sent mailing
Select a list in order to re-send the last mailing sent from this list.
Example
Trigger: A recipient subscribes to your mailing list via your subscription web page.
Reaction: The recipient automatically receives the last mailing sent from the mailing list.
This gives your recipient a first insight into your newsletter and shortens the time until the next regular mailing.
Delete remove recipient
Select a list in order to remove your recipient from this list.
remove recipient from all lists
Remove your recipient from all lists (but not globally).
Delete recipient from the system
Delete your recipient completely (from all lists and globally).
Example
Trigger: A recipient clicks the "Delete profile" link.
Reaction: This deletes the recipient from the system.
(Un)subscription
unsubscribe recipient from a list (no process)
Select a list in order to directly unsubscribe your recipient so that no pre-defined unsubscription process will be applied and no unsubscribe mailings will be sent.
unsubscribe recipient from a list (apply process)
Select a list in order to unsubscribe your recipient and apply the pre-defined unsubscription process. They will receive your pre-defined unsubscribe mailings.
Example
Trigger: A recipient clicks an unsubscribe link.
Reaction: This will unsubscribe them from your mailing list.
Unsubscribe recipient from all lists
Unsubscribe your recipient directly from all listsso that no unsubscription process will be applied and no unsubscribe mailings will be sent.
Subscribe recipient to a new list (no process)
Subscribe your recipient directly so that no pre-defined subscription process will be applied and no subscription mailings will be sent.
Subscribe recipient to a new list (apply process)
Select a list in order to subscribeyour recipient and apply the subscription process. They will receive your pre-defined subscribe mailings.
Tracking Permission
grant tracking permission
Select a list in order to grant tracking permission for this list.
Withdraw tracking permission
Select a list in order to withdraw tracking permission for this list.
Example
Trigger: A recipient withdraws their tracking permission for a mailing list - e.g. by clicking the tracking permission withdrawal link in a mailing.
Reaction: As a result of this, their tracking permission for another list should also be withdrawn.
transfer the tracking permission from another list
Select a list and an original list if you want to take over the tracking permission of the original list.
Example
A recipient has the option of subscribing to various mailing lists, e.g. study trips and adventure trips.
Trigger: A recipient subscribes to one of the two mailing lists.
Reaction 1: As a result of this, they should also automatically be subscribed to a third mailing list, used for birthday mailings.
Reaction 2: The tracking permission is to be taken over from the original list.
transfer the tracking permission from the list in which the action was triggered
Select this option if you want to take over the tracking permission from the list in which the event was triggered.
