Advanced properties

In the Advanced properties section, you can specify technical settings for your mailing lists (for example, whether you approve your mailings via immediate approval or via the advanced approval process). You can specify the following advanced properties:

Description

Reply address

Specifies the email address to which returns for your mailing (that is, replies from recipients or automatically generated replies) are sent or redirected.

If you do not make a selection, returns will be sent to the sender email address (editorial properties).

Enter the email address of your (news) POP3 mail server account, so that returns will be displayed on the (Global settings) tab > Inbox & bounces agent > Inbox tab (Displaying and filtering returns).  And for you to be able to view reports on the returns (Reports on returns) later on.

Note: Contact your Inxmail contact person or for more information.

Select the email format

Specifies the format in which mailings (in the Mailings, Email sequence and Subscriptions agents) in this mailing list may be created (Creating a new mailing).

Click in the input field, click the button at the end of the input field, and select one of the following settings in the dialog box:

  • Free selection: You may individually select the format of each created mailing.
  • Fixed: All mailings generated in the mailing list must be created in the same format (as selected in the dialog box). When creating new mailings, the option fields to select the format are preselected and greyed out.
  • Determined by column value: The format may be made dependent on a recipient column value. When creating new mailings, the option fields to select the format are preselected and greyed out.

Example

You have created an ‘HTML email’ column in the recipient table (Creating a new column). The following may now be defined:

  • All recipients for whom the column contains the ‘problematic’ entry will only receive mailings in the ‘Text’ format.
  • All recipients for whom the column contains the ‘HTML’ entry will receive mailings in the ‘HTML’ format.
  • All recipients for whom the column contains no entry will receive mailings in the ‘Multipart’ format.

Character set

encoding

Specifies which character set encoding is used for mailings.

Select the character set encoding that will correctly display the characters contained in your mailing.

If you do not enter anything, mailings will be automatically encoded in ‘Unicode (UTF-8)’. This character set encoding supports all common characters and special characters.

Note: The ‘Unicode (UTF-8)’ character set encoding must be set to be able to insert symbols in subject lines and mailings.

Assigning a special mail server

Specifies which mail server is used to send mailings from this mailing list.

You can use your standard mail server, or specify a special list mail server. Note: Contact your Inxmail contact person or for more information.

Assigning a special priority mail server

Defines whether test and confirmation mailings for this mailing list are to be sent via a list-specific priority mail server (for example, because the assigned list mail server of the mailing list delays test emails when mailings are sent).

Note: Your Inxmail Professional administrator must have set up the list-specific priority mail server for you to be able to select it (Configuring email sending).

Maximum send rate

Throttling of the maximum send rate per mailing (that is, the maximum number of emails sent per hour for a mailing) to avoid overloading when sending large amounts of data.

Example

This can be useful if, for example, you send your mailing to a large number of recipients and do not want all the recipients to simultaneously access your shop system after the mailing has been sent.

You can throttle the send rate in steps of 3,600 (for example, 3,600 emails per hour, that is, one email sent per second; 7,200 emails per hour; 10,800 emails per hour).

If you do not wish to throttle, enter: 0

Mailing approval

Defines the approval type with which mailings must be approved prior to dispatch.

Click in the input field, click the button at the end of the input field, and then make the following settings in the dialog box:

  1. When editing the properties in a mailing list, you can specify whether the system settings (that is, approval settings on the (Global settings) tab) should be applied or not. Deactivate the check box to change the approval settings for the current mailing list.
  2. Select the approval type:

    • Simple immediate approval: If you select simple immediate approval, confirm the dialog box by clicking OK (Starting immediate approval).
    • Advanced approval process: If you select the advanced approval process, follow steps 3 to 5.
  3. Select the form of the approval process to be carried out:
    • Escalating: A primary approver must approve the mailing. If this approver declines, the mailing is rejected; if approval is granted, the mailing may be sent. If the primary approver does not respond before the set escalation date, the approval is sent to an alternative approver who then has the sole right of approval.
    • Equivalent: With this option, two approvers must approve the mailing. If one of the two approvers declines the mailing, the mailing is rejected. If both approvers approve the mailing, or if it is only approved by one approver before the deadline and the other does not respond, the mailing is approved and can be sent.
  4. Select the persons who must approve the mailing. To do so, click (for each approver and/or alternative approver) the button and specify the following in the dialog box:

    1. If the person is not yet displayed in the list in the dialog box, create the person first. To do this, click the (Create new approver) button. Then enter an email address, a name and a short, concise description of the person. When editing the properties on the (Global settings) tab, you can also select if the person is allowed to provide approval across the entire system (that is, for all lists) or only for specific mailing lists. Save your entries.
    2. Select the person from the list. When editing the properties on the (Global settings) tab, note that you can only select approvers with approval rights for the entire system.
    3. Confirm your entries by clicking OK.
  5. To apply your approval settings, confirm the dialog box by clicking OK.

    Note: Users with the ‘Bypass approval process’ right can approve mailings with immediate approval even if the advanced approval process is required.

Perform unsubscribe test

Determines whether the unsubscription test is performed as part of the quality test.

When the property is deactivated, the unsubscription test is not displayed in any mailing on the list or performed.

Please note that a mailing unsubscribe option is required by law. You should only deactivate the unsubscription test in the following two cases:

Mailings on the list will be sent to an internal distribution list (for example, only to in-house recipients). An unsubscribe option in the mailing is not necessary in this case.

Unsubscriptions will not be processed in Inxmail Professional, but in a third-party system.

Enable unsubscription of deleted recipients

Specifies whether it is possible to unsubscribe recipients even when they have already been removed from the mailing list. In other words, this enables unsubscription even when the recipient is no longer recorded in the recipient table of the list (‘Subscribed’ and ‘Unsubscribed’ tabs). The recipients are then transferred to the ‘Unsubscribed’ tab (see Information in the recipient table).

Enabling this option may prove useful, for example, if you remove your recipients from the list after you have sent the mailing but you still want recipients to be able to unsubscribe themselves from the list.

Unsubscriptions via list-unsubscribe

As well as the option to unsubscribe using an unsubscribe link within the newsletter, some e-mail clients also offer the option to unsubscribe via a button or link. These unsubscribe buttons or links are control elements of the corresponding email application.

Your newsletters need to feature a list-unsubscribe header in order to enable your recipients to unsubscribe via control elements. The listed email applications use the list-unsubscribe header to determine all the required information for a successful unsubscription via the control elements.

Here you can determine whether to use the automatically generated Inxmail Professional list-unsubscribe header or whether you wish to or need to manually overwrite it.

Note: We highly recommend that you include the list-unsubscribe header in your mailings because this is a requirement of the Certified Senders Alliance (CSA), of which Inxmail GmbH is a member.

To implement the desired settings, proceed as follows:

Click the input field and click the button at the end of the input field. You can choose from the following options:

  • Enter list-unsubscribe unsubscription in this system

    Select this option if you carry out unsubscriptions for your recipients in Inxmail Professional. Inxmail Professional then automatically inserts the details required for the list-unsubscribe header in the email header.

  • Enter list-unsubscribe unsubscription in a third-party system

    Select this option if you are performing unsubscriptions for your recipients in a third party or external system, not in Inxmail Professional. An external system could be a Customer Relationship Management system, for example. In this case, it may be necessary to manually overwrite the list-unsubscribe header set automatically by Inxmail Professional.

    • URL for list-unsubscribe unsubscription: Enter a valid unsubscribe URL for your mailings here. The URL is usually generated dynamically. Among other things, it must contain the recipient's email address and the name of the mailing list from which the newsletter recipient in unsubscribing. You can use Inxmail Professional commands to determine the email address and the name of the mailing list.

      The CSA (Certified Senders Alliance) has stipulated that email providers and email marketing providers should implement the one-click list-unsubscribe procedure in their email applications from 1 July 2019. The unsubscribe is done via a POST request to the unsubscribe URL. This is signalled to the email applications by the list-unsubscribe post entry in the email header. As of 1 July 2019, the list-unsubscribe post entry is generally integrated in email headers sent from Inxmail Professional standard lists. This means that if you handle list-unsubscribe unsubscriptions in a third-party system or external system, the respective system must be able to process the POST requests to the URL of a newsletter that are submitted by the email application.

    • Email address for list-unsubscribe unsubscription: Enter the required specifications for unsubscription via the mailto unsubscription link. This includes the e-mail address of the e-mail inbound server to which the list-unsubscribe unsubscriptions are to be sent. This e-mail inbound server may not be assigned to any specific mailing list.

  • No unsubscription via list-unsubscribe; instead, provide information on the unsubscribe option via the list-help link

    You can use a website to provide newsletter recipients with information about the unsubscribe option. This involves adding to the source code a list-help link URL, which is not visible in the mailing itself. The link must link to a landing page that explains to the recipient how they can unsubscribe from receiving further mailings or why this is not possible for legal reasons.

    Unsubscription via list-unsubscribe is not possible in this case.

  • It is envisaged that inserting a list-help link is only to be used in exceptional situations, in which special circumstances mean that unsubscription from a mailing cannot be undertaken by means of an unsubscribe link or via a list-unsubscribe header.
    (Detailed information about the list-help link can be found in the section Create list-help link.
  • No unsubscription via list-unsubscribe

    This checkbox can only be activated for licence customers.

    Select this option if no list-unsubscribe header is to be included in your mailings, Be aware that this goes against the guidelines of the Certified Senders Alliance (CSA).

GDPR

Include consent for person-based tracking

Specifies whether person-based tracking may be used for recipients whose consent you do not have.

Enabled means: Clicks and opens of recipients are tracked by Inxmail Professional only if the value of the Tracking Permission column is Yes.

Not enabled means: Clicks and opens of recipients are tracked by Inxmail Professional even if the value of the Tracking Permission column is No.

Note: If you would like to carry out GDPR-compliant tracking in Inxmail Professional, you must enable this check box, see: Effects of tracking permission and ‘Tracking permission’ property.

You can set the tracking property at two places:

  • On the (Global settings) tab > Properties agent. Here you can enable or disable a check box:

    • (means enabled)
    • (means not enabled)

      Note: In the (Global settings) tab, the Properties agent is only visible to users with the ‘Administrator’ and ‘Main user’ roles.

  • On the tab of the mailing list > Properties agent. Here you can use a drop-down list:

    • Apply global settings: If selected, the setting from the (Global settings) tab > Properties agent is applied. Depending on what is set in the global properties, the tracking property for this list is enabled or not enabled .
    • Include (global settings will be ignored) (means enabled)
    • Do not include (global settings will be ignored) (means not enabled)

GDPR

Include Tracking Permission of deleted recipients

 

Specifies whether person-based tracking is also possible for deleted recipients.

This property is intended for integrators who automatically delete recipients from a mailing list after the mailing has been sent, and import them again before the next dispatch.

Configure Google reCAPTCHA (HTML subscription

form)

Here, enter the domains that are required to integrate Google reCAPTCHA into HTML subscription forms.

Note: This property is only relevant if you want to integrate Google reCAPTCHA into an HTML subscription form that you have created. If you are using the dynamic ‘Subscription’ Web page, you can integrate Google reCAPTCHA using the ‘Files & web pages’ agent.
